The following terminology applies to these Terms and Conditions, Privacy Statement and Disclaimer Notice and any or all Agreements: “Client”, “You” and “Your” refers to you, the person accessing this website and accepting the Company’s terms and conditions. “The Company”, “Ourselves”, “We” and “Us”, refers to our Company. “Party”, “Parties”, or “Us”, refers to both the Client and ourselves, or either the Client or ourselves.
All terms refer to the offer, acceptance and consideration of payment necessary to undertake the process of our assistance to the Client in the most appropriate manner, whether by formal meetings of a fixed duration, or any other means, for the express purpose of meeting the Client’s needs in respect of provision of the Company’s stated services/products, in accordance with and subject to, prevailing English Law.
Any use of the above terminology or other words in the singular, plural, capitalisation and/or he/she or they, are taken as interchangeable and therefore as referring to same.
AEW Tours has used all reasonable effort to ensure that the contents of this website are accurate but we take no responsibility for any errors or omissions that may have occurred.

We are committed to protecting your privacy. Authorized employees within the company on a need to know basis only use any information collected from individual customers. We constantly review our systems and data to ensure the best possible service to our customers. Parliament has created specific offences for unauthorised actions against computer systems and data. We will investigate any such actions with a view to prosecuting and/or taking civil proceedings to recover damages against those responsible.
We are registered under the Data Protection Act and as such, any information concerning the Client and their respective Client Records may be passed to third parties. However, Client records are regarded as confidential and therefore will not be divulged to any third party, other than our supplier(s) if legally required to do so to the appropriate authorities. Clients have the right to request sight of, and copies of any and all Client Records we keep, on the proviso that we are given reasonable notice of such a request. Clients are requested to retain copies of any literature issued in relation to the provision of our services. Where appropriate, we shall issue Client’s with appropriate written information, handouts or copies of records as part of an agreed contract, for the benefit of both parties.
We will not sell, share, or rent your personal information to any third party or use your e-mail address for unsolicited mail. Any emails sent by this Company will only be in connection with the provision of agreed services and products.
Disclaimer – Exclusions and Limitations
The information on this web site is provided on an “as is” basis. To the fullest extent permitted by law, this Company:
– excludes all representations and warranties relating to this website and its contents or which is or may be provided by any affiliates or any other third party, including in relation to any inaccuracies or omissions in this website and/or the Company’s literature; and
– excludes all liability for damages arising out of or in connection with your use of this website. This includes, without limitation, direct loss, loss of business or profits (whether or not the loss of such profits was foreseeable, arose in the normal course of things or you have advised this Company of the possibility of such potential loss), damage caused to your computer, computer software, systems and programs and the data thereon or any other direct or indirect, consequential and incidental damages.
This Company does not however exclude liability for death or personal injury caused by its negligence. The above exclusions and limitations apply only to the extent permitted by law. None of your statutory rights as a consumer are affected.
$150 per person non-refundable deposit is due at time of booking.
Changes or amendment after deposit
$50 per revision per booking, plus any expenses imposed by suppliers. Amending the date of travel constitutes a cancellation and rebooking, and will be subject to cancellation fees.
Full payment is required 60 Days prior to departure. Payments made within 30 days of departure must be in the form of a certified check, money order, or credit card. Some credit cards and Wiring may include extra processing costs. Final payment: Acceptance of the client’s booking must be confirmed in writing by company. Please refer to the confirmation invoice and/or confirmation email for detail regarding final payment .if full payment is not received by the due date, then rates and tour space cannot be guaranteed.
The company is not responsible for any charges applied to credit card transactions and will not refund or return any fees by third parties as incurred during the transaction of the tour cost.
We accept major credit cards. Third-party credit cards are not acceptable.
Returned checks – $30 fee for bank charges
Last minute reservation
If requested services cannot be confirmed, deposit and booking fee will be refunded. If services are confirmed, final payment is due within 24 hours and all applicable cancellation penalties will apply thereafter. Acceptable forms of payment include credit card or certified check.
Cancellation by the client
Any cancellation made by clients must be in writing and acknowledged by the company through email or fax. According to the request to cancel received date by the company, the company will determine the cancellation applicable.
• Cancellation 60 days or more prior to departure loss of deposit
• 59-31 days prior to departure 50 % of the cost of the service booked
• Less than 30 days prior to departure loss of 100% of the service booked
Cancellation of tour by the company
The company reserves the right to cancel any trip for any reason; however there is no cancelation for tours less than 60 days prior to departure except for unusual or unforeseen circumstances outside the company control. When a tour is cancelled by the company the clients have full choice to choose between full refunds or choose one of our alternative tour offered by the company at no Extra cost. The company is not responsible of any consequential loss or incident expenses that the client may have incurred as result of booking such as non-refundable flight ticket or rail, visa and vaccination car parking or any other fees loss of earning etc.
If the alternative tour cost is higher than the original tour priced the client is responsible to pay the extra involved in change if the alternative cost is less than the original price the company will return the difference back to the client,
In case of unused services there will not be discounts or refund for missed or unused service.
Validity of tickets & passenger name
Tickets are made out in the name of the customer and are not transferable. Passengers are responsible to ensure that the names printed on the ticket exactly match their passport names. Due to newly introduced security measures, any name change including minor spelling corrections may require airline reservations to be cancelled and rebooked. Reservations are subject to availability at the time of rebooking. Once full payment is received, airline tickets will be issued. Subsequent name corrections will be subject to an airline-rebooking fee of up to $200 per ticket. AEW Tours will not be held responsible for the denial of services by a carrier due to any name discrepancy.
Name changes must be advised in writing.
Tickets are valid only on the dates and flights indicated. Unused portions of tickets may not be used for travel on other flights and are not subject to refund at any time.
Once issued, tickets are non-refundable. Airline schedules and flights are subject to change without notice. AEW Tours is not responsible for penalties incurred for tickets, international or domestic, not issued by AEW Tours due to schedule and/or flight changes. If you purchase your airline tickets separately from any services from us we suggest you contact your travel agent or the carrier several weeks prior to departure for seat assignments and flight time confirmations.
Passengers are responsible to reconfirm their flights 72 hours prior to departure for all flights.
Refusal to transport – Removal of passengers
AEW Tours shall not be liable for refusal by itself or the carrier to transport a passenger, not for the cancellation of a reserved space or removal of a passenger due to, but not limited to, safety reasons, to prevent violation of any applicable laws of any country or to prevent any hazard or risk to such passenger, to any other person or property, or to the flight.
Some airfares may require early or instant purchase. We will contact you when payment for airline ticket is due.
Airport Taxes & Fees
All airline tickets are subject to a variety of foreign and domestic government taxes which include security charges, airport facility charges, customs and immigration fees, inspection fees and more. The total of these taxes may vary anywhere between $250 to $500 per passenger and are collected by AEW Tours at the time of issuing the ticket. To issue airline tickets prior to 60 days, AEW Tours requires the full payment on the booking.
Tour Price Inclusions
Our website lists the price and inclusions for each individual itinerary. Both prices and inclusions are subject to change. If a tour price should change, you may cancel your trip without penalty if we are notified in writing of your intent to cancel within seven (7) days of the price change. All non-refundable charges such as airline tickets, fuel surcharges, and other fees are exempt from this policy.
Accommodation will be provided in accordance with the itinerary or similar. We reserve the right to make substitutions with hotels of equal standard. There will be no refunds for any difference in the cost of those accommodations.
All rooms are standard rooms with private facilities, unless you have specifically requested and paid for an upgraded room category.
Special requests such as bed types, smoking preference and connecting rooms are subject to availability. Room selection in all cases, unless otherwise reserved, is strictly at the discretion of the hotels management on a run-of-house basis.
Triple rooms consist of standard twin beds plus a sofa/folding bed or cot for third person. The number of persons accommodated does not dictate the room size.
All hotel rates are based on AEW Tours agreements with its suppliers and are not negotiable.
Hotel check-in time is generally not before 4:00 p.m. and check-out time is prior to noon. Please be sure that adequate arrangements for accommodations have been taken into consideration when a late night flight is being used.
Accommodation will be provided in accordance with the itinerary or similar. We reserve the right to make substitutions with cruises of equal standard. There will be no refunds for any difference in the cost of those accommodations.
Cabins are assigned within a general cabin category on run-of-ship basis. AEW Tours cannot guarantee a specific assignment but will endeavour to adhere to your preferences.
AEW Tours will endeavour to acquire your preferences for dining times but cannot guarantee acceptance.
All documents will be mailed 21 days prior to departure and will take approximately 7 days for delivery
At least 45 days before mailing the documents, full payment (cleared check or approved credit card) should be received Documents will not be forwarded without full payment.
Extra fees will apply for express mail delivery.
If final payment is not received by 45 days prior to travel an additional cost for express delivery will be added to the final payment.
All amounts must be paid in full before documents can be released
Amendments after departure
Any changes or additions will be charged by the passenger at the local rate.
Minimum age for accompanied children can vary and needs to be qualified before final bookings are made. Discounts may apply for children sharing a room.
Meals on tours are as specified in the itinerary. Meals are based on the hotels or restaurants buffet or set menu, in some cases they may be cheaper for children under 12. Beverages are not included unless specifically stated.
Transfers are by air-conditioned car, minibus or coach, on tour, arrival and departure If you deviate from the arrival and/or departure dates as stated in the itinerary, you will automatically be billed for the transfer service, which you may advise us to cancel at any time prior to your final tour payment date.
Sightseeing will be operated by motor-vehicle, its size dictated by the number of participants and at the sole discretion of the company. AEW Tours accommodates individuals as well as groups. Please refer to each tour package for a complete listing of tour services included. The number of participants may vary during the tour, as AEW Tours accommodates travellers arriving on different airlines and on different days of the week. Times listed in itineraries are approximate and meant only as guidelines. It is your responsibility to arrive on time for all scheduled flights, cruises, and package components. Arriving late may be considered a “no-show”, in which case you will not be eligible for refund for the unused service(s). We cannot guarantee the number of passengers who will be on any given tour. However, if you require individual tours this can be arranged when planning your itinerary. You may find that you are travelling with a sizeable group or only with your own companions. Services, however, will remain constant no matter the number of tour participants.
On dates including, but not limited to religious holidays and national celebrations, some monuments and sites may be closed. On these occasions, touring itineraries may be amended to reflect these closures.
All tour packages allow two pieces of luggage per person and one carry-on bag, unless otherwise advised by the authorities or airline. Excess luggage will be subject to charges. The Travel Agent and/or Tour Operator, AEW Tours, shall not be held responsible for any damage to or loss of luggage/personal items. All damage/loss must be reported at time of incident and documented in writing by local authorities and Airline Company for submission to the insurance company.
Itinerary and Hotel Variation – Occasionally, during holidays and certain periods, due to unforeseen circumstances, the local Tour Operator may have to make last-minute changes, sometimes after arrival, in the sequence of the tour and/or hotels. Therefore, we reserve the right to substitute the itinerary’s schedule or any of the hotels with no cost adjustment.
Suggested Tipping – in Case it’s not including in your program Please consult your AEW Tours agent. (tipping has not been included in the packages)
Living Standards – Customers are asked to bear in mind and accept that living standards and practices at the destination, and the conditions with respect to the provision of utilities, services and accommodations, may differ from those found in Australia. Some monuments may require a set standard of dress of which you will be advised by your tour guide.
Service disruptions – Some services including water, electricity, air-conditioning, security, sanitary conditions, pools, food, beverages and other services or benefits may be suspended or interrupted partially or completely during the customer’s stay. Likewise, depending on the occupancy rate of hotels, a la Carte dining may be replaced by buffet or vice-versa.
Food, water and beverages – The food, water and beverages may not be up Australian standards. Accordingly, customers assume sole responsibility for any illness suffered while abroad or upon return owing to the quality of the food, water and beverages. It is important that you make yourself familiar with local laws regarding the consumption of alcohol.
Non-operation of escorted tour
Escorted tour packages are based upon a minimum number of participants. Cancellation of any tour for lack of participation will be advised at least 30 days prior to the tours departure, and all money will be refunded. AEW Tours will not be held responsible for any costs relating to the issuance and/or cancellation of airline tickets or visa fees. Whenever there are less than 10 passengers, tours will be locally hosted.
Voluntary cancellations due to political instability, acts of terrorism, government intervention or Australian Government Department warnings will be subject to cancellation fees, provided the program is deemed (by AEW Tours) able to continue. Should AEW Tours elect to cancel a departure for any of these reasons, every effort will be made to obtain refunds from suppliers, and however no guarantees can be provided on their behalf.
Travellers with disabilities or requiring assistance
Tour participants requiring any form of assistance are required to notify AEW Tours in writing at the time of reservation, and must be accompanied by an individual responsible for providing those services. Tour managers, guides, drivers or other tour, hotel, ship personnel are not able to provide such assistance. Due to space limitations, wheelchairs and walkers cannot be taken aboard motor coaches and/or ships and some tours may not be suitable for certain disabilities. AEW Tours reserves the right to remove any person from a tour who has not provided the required notification and has not received written confirmation. All related expenses, including those to return home, will be borne by the passenger.
If you have any complaint about your trip, you must make it known at the earliest opportunity to the leader or AEW Tours representative or call the number we will provide to you after booking confirmation. Complaints must be in writing and within 2 weeks from ending the trip.
Adequate travel insurance is compulsory for all travellers in all of our trips. Your insurance must cover illness injury accidents and death also have to cover medical expenses including pre-existing medical condition emergency repatriation personal liability . Highly recommend covering cancellation loss of luggage. (Comprehensive travel insurance)
Travel protection plan
we highly recommend the purchase of comprehensive trip insurance. Discuss your insurance requirements with your travel agent at AEW Tours to ensure that you have the necessary amount of cover without over insuring. If you purchase with us and the client must be sure he satisfied with the plan.
Australian travel advice
From time to time, the Australian Government (www.smarttraveller.com.au) issues Travel Advisory Notices giving advice regarding travel to a particular destination, which you should consult. If their advice to Australian citizens is to defer travel we will probably have to cancel your holiday (we have to follow the advice of our insurers). If their advice is against non-essential travel we will not usually cancel your holiday, but will be happy to give our opinion of the possible risks involved. The decision to travel or not in this case will be yours, and our normal cancellation conditions will apply. You should also check your travel insurance to confirm how a Travel Notice affects your policy, as this varies between insurers.
We use IP addresses to analyse trends, administer the site, track user’s movement, and gather broad demographic information for aggregate use. IP addresses are not linked to personally identifiable information. Additionally, for systems administration, detecting usage patterns and troubleshooting purposes, our web servers automatically log standard access information including browser type, access times/open mail, URL requested, and referral URL. This information is not shared with third parties and is used only within this Company on a need-to-know basis. Any individually identifiable information related to this data will never be used in any way different to that stated above without your explicit permission.
You agree that AEW TOURS may use images of you taken during the trip without your authorization or back to you and without any compensation to you, for publicity and promotion purposes only.

Neither party shall be liable to the other for any failure to perform any obligation under any Agreement which is due to an event beyond the control of such party including but not limited to any Act of God, terrorism, war, Political insurgence, insurrection, riot, civil unrest, act of civil or military authority, uprising, earthquake, flood or any other natural or manmade eventuality outside of our control, which causes the termination of an agreement or contract entered into, nor which could have been reasonably foreseen. Any Party affected by such event shall forthwith inform the other Party of the same and shall use all reasonable endeavours to comply with the terms and conditions of any Agreement contained herein.
Failure of either Party to insist upon strict performance of any provision of this or any Agreement or the failure of either Party to exercise any right or remedy to which it, he or they are entitled hereunder shall not constitute a waiver thereof and shall not cause a diminution of the obligations under this or any Agreement. No waiver of any of the provisions of this or any Agreement shall be effective unless it is expressly stated to be such and signed by both Parties.
Notification of Changes
These terms and conditions form part of the Agreement between the Client and ourselves. Your accessing of this website and/or undertaking of a booking or Agreement indicates your understanding, agreement to and acceptance, of the Disclaimer Notice and the full Terms and Conditions contained herein. Your statutory Consumer Rights are unaffected.
You will receive the final documentation and tickets when AEW TOURS received the full payment and completed the travel forms.
